Your Business Butler

Stay calmsy
with Chalmsy.

Your business, looked after — by a butler with serious Artificial Intelligence behind it. The AI learns your business, your brand, and your voice to write proposals, prepare invoices, understand and read a receipt the moment you photograph it, and keep the books straight. There is nothing to prompt and nothing to learn: you show it what you do in the morning, and it does it how you do it in the afternoon.

Most business software hands you an AI and wishes you luck. Chalmsy hands you the finished work — the proposal drafted, the receipt filed, the invoice raised — for you to check and send. The cleverest part of your business is the part you never have to operate. Others add AI to their forms; Chalmsy starts in your inbox.

What the butler does

From chaos to calm.

Runs the day

Open Chalmsy and the day is already in order. Today shows what actually needs you — the emails, the calendar, and every proposal and invoice still outstanding.

Knows your people

Every client with their whole history attached, and the crew you put on each job. Nobody has to remember who did what, or what they paid last time.

Wins the work

Proposals that read like you wrote them — because they learn from the ones you did. Built and sent ready for signature in seconds.

Gets you paid

Invoices and payment schedules straight from the proposal you already agreed. Deposits, balances, terms — no re-typing.

Keeps the books

Photograph a receipt and it files itself. Live profit and loss, so margin is a fact you can see, not a feeling in spring.

Why it exists

Built by a business that needed it — not a lab that imagined it.

Chalmsy was built inside a working studio, because software that was truly yours — that learned your business, met your needs and represented your brand — was never for sale. The AI isn't a bolt-on; it's the DNA. And it has run a real business's real proposals, invoices and clients every day since April 2026.

Unmistakably yours

It arrives as ours. Minutes later, it's yours.

Chalmsy arrives looking like Chalmsy. Pick a look, drop in your logo, and the whole thing — the software itself, and every proposal and invoice that leaves it — becomes yours. Not a logo in the corner. The entire system.

Chalmsy's own theme — what a brand-new workspace looks like on day one.

The work, in your voice

Proposals in your voice, by an AI you can name.

Hand Chalmsy a few proposals you have already sent and it picks up your phrasing, your structure and the way you price; then it drafts the work — the proposal, the reply, the invoice, the receipt's ledger line — and brings it back for your approval. Nothing reaches a client until you say so. The intelligence doing the drafting is Claude, an AI model made by Anthropic: a named, checkable credential rather than a vague "AI-powered" badge — and your business is not its training material. If you can explain a job to someone who works for you, you already know how to use it.

Proposals

Written in your voice, priced from your real costs.

Paste the enquiry. Chalmsy drafts a full proposal using your past work as the reference for tone — then prices it against the costs and margins you actually use, not a template's guess.

  • Learns your voice from proposals you've already sent, so it never sounds like a robot wrote it.
  • Tiered options — present good, better and best in one document and let the client choose.
  • Hard-input pricing for retainers and negotiated work, where the number must not be "helpfully" adjusted.
  • Send as a link or a PDF, straight from your own email address.

Bookings & pipeline

Every enquiry visible — nothing quietly forgotten.

Drag a booking from enquiry to confirmed and everything follows it: the client, the venue, the proposal, the invoice, the details, the timings. One card, the whole job.

  • A board you read at a glance — enquiry, scoping, proposal, negotiating, won.
  • Value on every card, editable in place, so the pipeline total is always current.
  • Clients with several jobs stay untangled — each keeps its own proposals and invoices.
  • Intake forms you embed on your own website, feeding straight onto the board.

Finance & bookkeeping

Photograph the receipt. That's the whole job.

Snap a receipt on your phone and Chalmsy reads the vendor, date, amount and category, then files it. At month end your profit and loss is already written — and you can lock the period so it stays true.

  • Receipts read automatically — vendor, date, total and category, ready to confirm.
  • Live profit & loss per trading entity, revenue net of tax, costs split sensibly.
  • Period locking so a closed month can't drift after you've reported it.
  • Import your history from a CSV — UK or US dates, European decimals, either sign convention.

Questions

The things people ask first.

Do I need to be tech-savvy to use this?

Not even slightly. Chalmsy was built on one principle: simplicity above all else. No jargon, no steep learning curve, no IT department required. If you can send an email or fill in a form, you already have every skill you need.

Is this built for my industry?

Chalmsy grew up inside a creative studio, so it's especially fluent in visual, client-facing, quoted work — but it's built for any business that runs on clients, bookings, proposals and invoices: consultants, planners, photographers, caterers, agencies, trades, and beyond. Those four jobs — quote, book, deliver, invoice — are universal. Chalmsy does all four, wearing your brand and speaking in your voice. There's a dedicated tour for florists, event planners, venues, interior designers, consultancies and trades.

Will it actually feel like my business, or something generic?

Everything Chalmsy produces — proposals, invoices, client-facing documents, the interface itself — is dressed in your brand: your colours, your logo, your style. It's not a template with your name dropped in. Think of it as a tailored suit, not a uniform.

Do I have to move everything across on day one?

No. Most people start by sending one proposal through Chalmsy and leave everything else where it is. Your client list and bookkeeping history import from a CSV whenever you're ready — including part-way through a year.

Will it write proposals that sound like a robot?

That's the specific thing it's built not to do. Chalmsy uses proposals you've already sent as the reference for tone, so drafts come back sounding like you. You review and edit every one before it goes anywhere near a client.

What does the AI actually do, day to day?

It works invisibly — no prompts to write, nothing technical to set up. Point it at a handful of proposals or invoices you've already sent, and it reads your style, your tone, your pricing, then quietly matches them in everything it drafts from there on.

Can my team use it without seeing the money?

Yes. Team members can be given a role that hides margins, costs and the books, while still letting them work on bookings and details.

Do I need to install anything?

No — it runs in the browser on any device. If you'd like it to behave like a proper desktop app, with its own window and icon, you can install it in two clicks. Here's how.

Who can see my data?

You, and whoever you invite. Every business's data is isolated at the database level, not just hidden in the interface. More on how that works.

Is my data used to train the AI?

No — your business is not training material. Our Terms state plainly that we do not use your content to train AI models, and work sent to the model travels through Anthropic's commercial API, whose terms commit that submissions aren't used for training either. Your proposals teach Chalmsy how you write; they don't teach anyone's model how to write. What the AI reads — and what it never does.

What if I want something truly bespoke?

That's what the Atelier tier is for. Beyond the platform itself, the Chalmsy team can build a fully custom setup — tailored workflows, branded document systems, a configuration fitted to the particular rhythms of your business. See Atelier.

Already using something else

You don't move in. You get moved in.

The reason most people stay on software they've outgrown — or on a spreadsheet held together by memory — isn't loyalty. It's the move. So we do it for you: your clients, your past proposals, your invoice history and last year's books brought across and checked, while your old system keeps running untouched. Included on every plan, before you've paid anything.

Stay calmsy

Give the paperwork to someone else.

Start free, bring one booking across, and see whether the next proposal takes ten minutes instead of an evening.
